Orrett Music Academy Private Policies

Welcome to Orrett Music Academy! We work hard to ensure your family’s experience exceeds expectations. Please contact our team anytime, we are here to help.


1) BILLING, PAYMENT, & SUBSCRIPTION

  • Once registered, Orrett students are subscribed to ongoing enrolment, year round. *A student may cancel their subscription as per policy #2. A student may opt out of July and August without cancelling their subscription as per Policy #13.
  • Tuition is billed monthly and processed automatically on the 1st of each month using the payment method provided on your Opus1 profile.
  • The first month is prorated from the date of your first registered lesson.
  • Tuition reflects the number of scheduled lessons in that month, excluding listed holidays.
  • Helpful hint: To view a detailed breakdown of each months charges, including any applicable price adjustments, click “see all invoices” under the invoice section of your Opus1 profile.
  • Music lessons are HST exempt.
  • Accepted payment methods: Credit Card or Pre-Authorized Bank Transfer.
  • A $25 fee applies to declined monthly payments. Please ensure your payment information remains current in Opus1.
  • Prefer to pay upfront? A student/parent may pay as many invoices upfront as they wish by clicking pay now on all their monthly invoices. *Note that September must be paid for the October invoice to appear and so on. Once paid, these invoices are not auto charged.

2) WITHDRAWAL & SCHEDULE CHANGES

Music lessons are a wonderful and important addition to our lives. Patience and parental involvement are both critical components of ensured success for our young students. If you are considering withdrawing, we encourage you to first speak with your teacher and/or administration. Often a small adjustment in scheduling, teacher pairing, or lesson structure renews enthusiasm and progress.

To make one of those recommended adjustments, contact Orrett admin. If withdrawing or shortening lessons becomes the only option, the following applies:
  • A student may withdraw from lessons or shorten a lesson at the end of any month other than September by giving written notice by the 15th of that month. Notice must be given in writing to hello@orrett.ca.
  • If notice is received after the 15th, the following month’s tuition will be processed and lessons as is would continue until that time.
It is recommended to ask your teacher or admin periodically to see if your student could benefit from a longer lesson. A lesson may be lengthened at any time, pending availability by contacting hello@Orrett.ca

3) STUDENT MISSED LESSONS

Our missed lesson system exists to balance flexibility for students and families with respect for teachers’ professional time.

  • A maximum of 3 make-up lesson credits may be issued within any rolling 180-day period.
  • The 180-day period begins on the date of the cancelled lesson.
  • “Rolling” means the 180-day window moves forward continuously from the date of the first cancelled lesson.
  • Cancellations must be submitted through Opus1.
  • A minimum of 12 hours’ notice is required.
  • Credits expire 180 days from the date of the cancelled lesson.
  • Students / Parents book make-up lessons on Opus1. Please note that make-up lessons may only be booked up to a maximum of 10 days in advance. Future dates beyond 10 days will appear as “Unavailable” on a teacher’s schedule.
  • Credits may be used with your regular teacher or any available teacher that appears when booking.
  • Credits may be transferred between students in a family.
  • Student Missed lessons are not refunded or converted to financial credit.
  • A booked make-up lesson, if cancelled by the student/parent, will not be eligible for a make-up lesson credit.
  • To help busy families, teachers will occasionally come in on days they do not regularly teach just for make-up lessons. For additional flexibility, make-up credits may be used with any teacher that teaches the same instrument.
  • Make-up lessons may be booked in any month other than September.

Upon withdrawal, any remaining student missed lesson credits will automatically expire.


    4) ACADEMY MISSED LESSONS

    An Academy Missed Lesson occurs when:

    • Your regular teacher is absent and
    • No supply teacher is available.

    In this case:

    • An Academy Missed Lesson credit is issued and will appear automatically in your Opus1 account.
    • These credits do not count toward the 3-credit per 180 rolling day student maximum.
    • While enrolled, Academy credits do not expire.
    • Upon withdrawal, Academy credits remain valid for 1 year from the date of your last lesson.
    • Academy Missed lessons are not refunded or converted to financial credit.

    5) SUPPLY TEACHERS

    When necessary, Orrett may provide an Authorized Supply Teacher. AST’s are carefully selected and approved by the Director. They are often regular Orrett faculty members covering for colleagues and are fully aligned with our teaching standards and expectations.

    When an Authorized Supply Teacher is present, the lesson runs as scheduled. For transparency, families are notified of these changes. Please note, out of necessity, these notifications on occasion may be sent close to the time of the lesson.

    If a student or family chooses not to attend when an Authorized Supply Teacher is available, it is considered a student missed lesson and standard missed lesson policies apply.

    Experience has shown that occasional exposure to another qualified teacher can be both educational and refreshing for students.


    6) LESSON FORMAT (IN-PERSON & ONLINE)

    Lessons are presumed to be in-person. Students showing visible symptoms of illness may be sent home in consideration of community health. In this case, the lesson will be forfeited without make-up credit provided.

    For your convenience, students / parents may switch any lesson to online. This is done through Opus1 by selecting “Join Online” on the given day’s lesson as it appears on your profile within 15 minutes of their lesson start time AND contacting the teacher on Opus1 to give them a head’s up. This is especially helpful when a student is mildly unwell but still able to participate, when a student cannot give 12 hours notice, or when schedules are busy. Switching to online prevents the need to use one of the max allotted cancellation credits.


    7) STUDENT LATENESS

    • A teacher will wait up to 15 minutes for a student to arrive before the lesson is cancelled.
    • If advance notice of lateness is given, teachers will wait up to the entire length of the lesson.
    • Lessons cannot extend past their scheduled end time.
    • Refunds are not provided for missed or late lessons.

    8) HOLIDAYS & INCLEMENT WEATHER

    Lessons do not run on the following holidays; tuition is automatically adjusted:

    • Labour Day
    • Thanksgiving Monday
    • Winter Break (two weeks)
    • Family Day
    • March Break (one week)
    • Good Friday
    • Victoria Day
    • Canada Day
    • Civic Holiday

    All holiday closures and academy scheduling can be viewed anytime under “Our Calendar” on our website.

    In rare cases of severe weather (as determined by Orrett), lessons will be cancelled. An Academy Missed Lesson credit will be issued. Like all lesson credits, refunds and financial credits are not provided.


    9) REGISTRATION FEE

    • Etobicoke-Kingsway: $49
    • All other locations: $29

    Includes welcome materials (all locations) and parking pass (Kingsway only).

    Fee is waived for:

    • Students who are already enrolled in other instruments or classes at Orrett
    • Students returning within 30 days*
    • Students pausing only for July/August who do not opt out for September

    *Students who withdraw their registration at any point in the year and choose to within 30 days (for the same class or another class or instrument) will have their re-registration fee waived. Students who withdraw their registration at any point in the year and do not return within 30 days must pay another registration fee to return. In both cases please note that your spot is released and cannot be guaranteed to remain available upon your return

    The registration fee is non-refundable.


    10) CONDUCT, SAFETY & LIABILITY

    ORRETT DOES NOT ASSUME TRANSFER OF CARE. THE WELFARE AND SAFETY OF THE STUDENT REMAINS WITH THE ADULT STUDENT OR PARENT / GUARDIAN OF A MINOR.

    Students under 18 must be accompanied by a parent or caregiver unless written consent is given.

    Orrett cannot assume responsibility for lost, damaged, or unattended personal property.

    In rare circumstances, Orrett may end enrolment of a student or family to protect the safety and well-being of our academy community. This may include situations involving disruptive behaviour, inappropriate conduct, repeated late payments, or communication inconsistent with a respectful learning environment. Remaining prepaid tuition (if applicable) will be refunded.

    We are committed to maintaining a warm, respectful, and encouraging musical environment for every student and family.


    11) COMMUNICATION

    Communication with teachers occurs directly through your client portal on Opus1 by clicking the initials of the student and using the “comments” section. If you receive an email notification of a message from your teacher, do not reply to that email. Instead, click the button at the bottom of the email to reply on Opus1.

    Communication with Orrett administration and management happens by email, phone, and (occasionally) SMS. By enrolling, students and families consent to academy-related email, phone, and SMS communication.


    12) PARENT OBSERVATION & INVOLVEMENT

    The following policy applies to students under the age of 18:

    We believe strongly in the Parent–Teacher–Student learning partnership. The ideal level of parent involvement varies by age, maturity, and individual learning style.

    Some students benefit from a parent present for part or all of the lesson. Others thrive with increasing independence. Teachers and families will determine together what level of involvement best supports the student’s growth.

    For younger students, parental engagement at home is especially important. Teachers will provide brief updates and practice guidance at the end of each lesson and through Opus1 to help support continued progress.

    Orrett also provides three in-class Long-Term Goal Meetings per year involving the student, parent, and teacher. These structured check-ins are designed to ensure alignment, celebrate progress, and support continued musical growth.


    13) SUMMER LESSONS AND SEPTEMBER DEPOSIT

     
    ENROLMENT POLICY

    Students at Orrett, once registered, are subscribed to ongoing enrolment year round.

     
    SUMMER LESSON POLICY

    Students are automatically enrolled for lessons during July and August unless they Opt Out of Summer Lessons through our website by June 1st. The Opt-Out form will become available in approximately March each year, and families will receive an email reminder.

    If You Continue with Summer Lessons:

    You will receive 8 flexible summer lesson credits for the instrument in which the student is currently enrolled. These credits:

    • Can be used at any time during July and August, including more than once in the same week to accommodate vacations or other time away.
    • May be used by other members of your family.
    • May be transferred to another instrument by emailing hello@Orrett.ca
    • May be saved for use after the summer (excluding September) and expire 180 days after being issued.

    If You Opt Out of Summer Lessons:

    Your regular lesson day and time will remain reserved for you for September, but lessons & payments will be placed on hold for July and August with our last lessons taking place on June 30th.

    Opting out of summer lessons does not affect your enrolment for September.

     
    SEPTEMBER ENROLMENT

    To make registration simple and convenient, students are automatically enrolled for the following school year with the same lesson day, time, length, location, and teacher. There is no need to re-register each year.

    Need a change? You may request a different day, time, lesson length, or teacher at any time by contacting hello@Orrett.ca, and we will be happy to explore available options.

    September Enrolment Deposit:

    To hold your lesson spot over the summer for September (preventing potential new registrants from taking your spot during a busy registration season), a $160 deposit per private lesson enrolment will be charged on in the first week of June, whether or not the student participates in summer lessons.

    This is a deposit, not an additional fee. The full $160 is credited back during the September-to-June school year through a $4 credit per lesson applied to your monthly billing. Click “see all invoices” to see how your per lesson discount is affecting your monthly invoice.

    The deposit is non-refundable and non-transferable. If ORRETT is unable to honour your existing schedule in the fall (for example, due to a teacher leaving), we will first work with you to find a suitable alternative. If no suitable alternative can be found, the deposit may be credited or refunded.

    If you do not plan to return for lessons in September, simply complete the 30 second September Enrolment Opt-Out through our website by June 1. This option is available in the same place as the Summer Lesson Opt-Out and will go live in March. Students who do not opt out by June 1st will be automatically re-enrolled for September.


    14) PHOTO & VIDEO CONSENT (OPTIONAL)

    If the toggle below is enabled, Orrett Music Academy may use photos or videos of students for academy-related purposes, including website, social media, and in-school displays. Please be assured that students are never identified by full name. Photos are never sold or used for any non-school related purposes.

    If disabled, a student’s image will not be intentionally used in academy materials, including promotional features and contests**.

    **Please note that during larger academy events or recitals, wide-angle group photographs may be taken. While we make every reasonable effort to honour photo preferences, we cannot guarantee that a student will not appear incidentally in background or crowd images.


    15) MARKETING EMAIL CONSENT (OPTIONAL)

    Orrett students receive a discount at our music store as long as they are enrolled. Toggle “agreed” if you consent to receiving periodic marketing emails related to musical instruments and accessories from our store for music students (highly recommended!). You may withdraw this consent at any time.
